Carrier Services and Systems

Privacy Policy

Effective 12 October 2026

This policy explains how Carrier Services and Systems ("we", "us") handles personal data in Track & Trace (the "Service"), available at truckingtrace.com. The Service is business software used by trucking carriers ("Customers") and the staff they invite ("Users").

Who is responsible

For business data a Customer puts into the Service (loads, shipments, drivers, vehicles, customer contacts), the Customer is the controller and we process it on their behalf. For account data needed to run the Service (User names, email addresses, sign-in records), we are the controller. Contact: hq@carrierservices.ai.

What we collect

How we use data

We do not sell personal data and we do not use it for advertising.

Google user data

When you sign in with Google, we receive your name, email address and profile picture, and use them only to identify you in the Service.

Where a Customer authorizes Gmail access for its Google Workspace, the Service uses it only to show load-related email threads to the Customer's authorized Users and to send emails a User has reviewed and clicked to send. Message content is not used for advertising, is not sold, and is not used to train generalized artificial intelligence or machine learning models. People at Carrier Services and Systems do not read this data except with the Customer's permission for support, for security purposes, to comply with law, or in aggregated form for internal operations.

Track & Trace's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

Service providers

We use service providers to run the Service, including cloud hosting and databases, mapping and routing, document processing and AI processing used to read documents and messages for the features above. They process data only on our instructions and only as needed to provide those features.

Retention

We keep Customer data for as long as the Customer uses the Service, and delete or return it after the Customer's account ends, unless the law requires us to keep it longer. A Customer can disconnect Gmail access at any time, which stops further reading of its mailboxes.

Security

Data is encrypted in transit. Credentials for connected systems are stored encrypted. Each Customer's business data is kept in a separate database.

Your rights

Depending on where you live, you may have rights to access, correct, delete or object to the processing of your personal data. If your data is in the Service because of your employer or a carrier you work with, please contact them first; you can also contact us at hq@carrierservices.ai.

Changes

We will post any changes to this policy on this page and update the effective date.
